A key word can be found much faster in alphabetically sorted texts. Especially when the text is very long. Microsoft Word can do the sorting for you, whether the text you want to sort is in a list or in a table.

Sort lists

Follow our step-by-step instructions or take a look at the brief instructions .

1st step:

Open your Word document and highlight the text you want to sort. Then click on the " Sort " button above in the " Paragraph " category .

Now select " Paragraphs " under " Sort by " and " Text " under " Type ". You can then decide whether you want to sort your list in ascending or descending order . Finally click on " OK ".

3rd step:

Your list should now be sorted alphabetically.

Open your Word document and switch to the " Layout " tab under " Table Tools ". There click on the " Sort " button .

Under " Sort by ", select a criterion in your list that you want to use for sorting. This can be the first or second column, for example. All entries in the selected column are then sorted. For " Type " select " Text " and for " With " select " Paragraphs ". You can also determine whether you want to sort your table in ascending or descending order . Then click OK .

3rd step:

The table is then sorted according to the criteria you specified.

Quick guide: lists

  1. Select the text to be sorted in Word and then click on the " Sort " button at the top under " Paragraph ".
  2. For " Sort By " choose " Paragraphs " and for " Type " choose the option " Text ". Also choose whether you want the list to be sorted in ascending or descending order and click OK . The list is then reordered.

Quick reference guide: tables

  1. In Word, under Table Tools, go to Layout at the top . Then click on " Sort ".
  2. Now select a desired sorting criterion under " Sort by ". For " Type " select " Text " and for " With " select " Paragraphs ". Also choose whether you want the table to be sorted in ascending or descending order and click OK . The table is then sorted according to the specified criteria.
