Format a URL as a hyperlink

Microsoft Office programs such as Word, Excel, Outlook or PowerPoint automatically transform URLs (Uniform Resource Locators) into hyperlinks by following the steps below:

Step 1: enter or copy and paste the desired URL in a text document, an Excel sheet or an Outlook email.

Step 2: make sure the cursor is right behind the entered address and hit the? Enter? or the space bar..

The program will then automatically replace it with a hyperlink whose destination will be the address entered.

The default format for hyperlinks in Microsoft Office products is blue underlined text.

Customize the anchor text of the hyperlink

These are the steps to follow to create a hyperlink with custom text:

In our step-by-step explanation of adding a hyperlink, we use Microsoft Word for macOS as an example, but the steps are the same for all Microsoft Office for Windows products, although the names may vary.

Step 1: mark the piece of text that you want to use as the anchor text of the hyperlink. You can also use an image.

Step 2: on the ribbon, choose the option? Insert? and then click on? Hyperlink ?, or select? Hyperlink ?? in the shortcut menu. The corresponding shortcut is [CTRL] + [Alt] + [K].

The Microsoft Office program opens the "Insert Hyperlink" window, from which you can modify all the hyperlink settings.

Step 3: Define the hyperlink destination with one of the following options:

  • Another point in the same document: click on? This document? and select the text fragment, slide or cells to which the hyperlink is to redirect.
  • A snippet in another document - click? Web page or file? and find the file whose content you want to link. Select the point of the text you want to link to.
  • Link to another email: click? Email address? and enter the email address in the corresponding field. If necessary, enter a subject.

Step 4: click on the? Info button. onscreen...? to define a short text that appears when you move the mouse over the link. If this field is not customized, the hyperlink's destination address will be displayed by default.

Step 5: confirm the changes by clicking "OK".

Modify hyperlinks

Follow the steps below to edit a hyperlink inserted in a Microsoft Office file.

Step 1: click on the hyperlink with the right mouse button.

Step 2: From the shortcut menu, select? Modify Hyperlink ...?
